Terms & conditions

 

These Terms and Conditions govern the use, booking, and rental of The Fairmount Park Horticulture Center for weddings, receptions, corporate events, and photo and video production. By reserving the venue, the client agrees to comply with all policies outlined below.

Venue Use and Event Types
The Fairmount Park Horticulture Center is available for wedding ceremonies, receptions, corporate functions, and professional photo and video rentals. All events must be conducted in a manner that respects the property, its historic features, and surrounding park grounds. The venue reserves the right to deny or terminate any event that violates these standards.

Catering and Food Service
Constellation Culinary is the exclusive caterer for all events held at the venue. No outside food or beverage vendors are permitted unless explicitly approved in writing. All catering arrangements, including menu selection, staffing, and service logistics, must be coordinated directly through Constellation Culinary.

Booking and Payment
A signed agreement and a non-refundable retainer are required to secure an event date. The remaining balance must be paid according to the schedule outlined in the event contract. Failure to meet payment deadlines may result in cancellation of the reservation and forfeiture of any payments made.

Cancellations and Changes
Cancellations must be submitted in writing. Deposits are non-refundable, and additional fees may apply depending on the timing of the cancellation. Requests to reschedule are subject to availability and approval by the venue. Any changes to event details, including guest count, timing, or layout, must be communicated in advance and may incur additional charges.

Guest Conduct and Responsibility
The client is responsible for the behavior of all guests, vendors, and contractors associated with their event. Any damage to the property, furnishings, or surrounding grounds caused during the event will be the financial responsibility of the client. The venue reserves the right to remove any individual whose conduct is deemed unsafe, disruptive, or unlawful.

Event Timing and Access
Event access times, including setup and breakdown, will be specified in the contract. Events must conclude within the agreed-upon timeframe. Additional fees may apply for extended hours or overtime use. All vendors and guests must vacate the premises promptly at the end of the rental period.

Decorations and Venue Modifications
All decorations must be approved in advance. Items that may damage the venue, including nails, staples, adhesives, or open flames not approved by the venue, are prohibited. The use of confetti, glitter, or similar materials may be restricted. All décor must be removed at the conclusion of the event unless otherwise arranged.

Insurance and Liability
Clients may be required to provide proof of event insurance, including liability coverage, prior to the event date. The venue is not responsible for lost, stolen, or damaged personal property belonging to the client, guests, or vendors. The client assumes full responsibility for any injuries or damages that occur during the event, except where prohibited by law.

Photo and Video Rentals
Professional photo and video sessions must be scheduled in advance and are subject to availability. All productions must adhere to venue guidelines and may require additional permits or insurance. The venue reserves the right to restrict access to certain areas to preserve the property and ensure safety.

Compliance with Laws and Regulations
All events must comply with local, state, and federal laws, including noise ordinances, alcohol regulations, and public safety requirements. Necessary permits and licenses are the responsibility of the client unless otherwise specified.

Force Majeure
The venue shall not be held liable for failure to perform its obligations if such failure is due to circumstances beyond its control, including but not limited to natural disasters, severe weather, government restrictions, or other emergencies. In such cases, the venue will work with the client to reschedule the event when possible.

Right to Refuse Service
The Fairmount Park Horticulture Center reserves the right to refuse service or terminate an event if these Terms and Conditions are violated or if circumstances arise that could compromise the safety, integrity, or reputation of the venue.

Agreement Acceptance
By signing the event contract and submitting payment, the client acknowledges that they have read, understood, and agreed to these Terms and Conditions in full.
